Terms & Conditions

SweetCupcakes Cakery is a fully registered and inspected food premises, awarded the highest standard of Food Hygiene. We want your experience with us to be as enjoyable as possible. Please take some time to read the information below. Any questions, please do not hesitate to ask.

Booking fee

In order to secure your wedding date and cake order, we require a £75 booking fee within 48 hours of your enquiry. Once paid, it is non-refundable and non-transferable under any circumstances. Without this booking fee, we are unable to secure your booking.

Final Payment

The final balance for your order is due one month (28 days) before your wedding date. If this payment is not made by this date, a £25 late fee will be added for administrative purposes, or we reserve the right to cancel your order, in which case your booking fee will be forfeited.

Once this payment has been made, it is unfortunately non-refundable and non-transferable under any circumstances.

Refunds/Cancellations

The initial £75 booking fee is non-refundable and non-transferable under any circumstances. In the event of a cancellation, your booking fee will be forfeited and will be retained by us.

If you:

  • Pay in full upon booking.

  • Pay in full upon booking for a discounted offer.

  • Pay your remaining balance for a discounted offer.

The full amount paid is non-refundable under any circumstances.

If, for whatever reason, you cancel your booking after your final balance has been paid, then unfortunately, this is not refundable or transferable.

We reserve the right to cancel any booking where circumstances are beyond our control, such as a natural disaster, extreme weather conditions or severe ill health and in this instance, we will refund all monies paid.

Postponement

If you are required to postpone your wedding cake under any circumstances, a new £75 booking fee will be required for us to transfer your order to your new requested date if available.

Delivery

The cost of delivery and set up will depend on the location of your chosen venue. If the venue is changed by you and is further away, additional delivery costs may apply. We cannot be held liable for any damage to the cake at the venue once we have left the premises. We take photos of the cake at every angle when we set up for our own insurance purposes as proof of the condition of the cake upon delivery. We also ask a member of staff at the venue to confirm that the cake is in perfect condition before we leave the premises.

Collection

If you choose to collect your cake and transport it yourself, we are not liable for any damage to the cake once it has left our premises. You should ensure that your vehicle is suitable for transporting the cake before collecting it. We will do everything we can to provide a well-structured and stable cake, but please note that cakes can be very fragile, so you must drive carefully.

Design/Alterations

If you need to alter any aspect of your original cake order then please contact us at the earliest opportunity. We will always endeavour to to adjust the design where possible but under some circumstances this may not be possible according to the notice given and the supplies needed to complete the adjustment. If the alteration affects the cost, or preparation has already begun for the original design then your balance will be adjusted accordingly. We reserve the right to change the design at any point if circumstances are beyond our control and if the overall quality of the cake may be compromised e.g. melting due to very hot weather. Each cake is made by hand so although every effort is made to ensure consistency, some variation may occur.

Design Rights

The specification and design of your cake shall, unless otherwise agreed remain at all times the property of SweetCupcakes Cakery.

Allergies/Dietary Requirements

Please discuss with us if any of your guests have special dietary requirements or allergies. Some cakes can be made without nuts, gluten and alcohol but please be aware that all of our cakes are prepared in a kitchen that uses all of the above ingredients. Therefore, we are unable to guarantee our cakes are “free from” these ingredients due to the risk of cross-contamination.

Non-Edible Items

Most of our cakes will contain a small proportion of inedible items. It is the clients responsibly to ensure that these are removed by your caterer/guests before the cake is consumed e.g. support dowels in tiered cakes, ribbon, wires in sugar flowers, flower picks and flower tape (where fresh flowers are used). Some flowers (e.g. ivy) are poisonous and not suitable for use on food products. It is your responsibility to notify your florist that you intend to use fresh flowers on a cake to ensure that non poisonous, food safe flowers are used.

Fresh Flowers

If you would like us to use fresh flowers to decorate your cake then these will need to be provided by a professional florist sourced by you. Please make sure your florist knows you intend to use the flowers on a cake that will be eaten. The flowers will need to be removed before cutting.

Shelf Life

Your cake is baked to ensure it is as fresh as possible for your wedding/event. We cannot guarantee its quality if it is consumed more than 48 hours after the event. Our cakes are made entirely of natural ingredients and it is for this reason they will not have the extended shelf life of most supermarket cakes which contain additives and preservatives. In order to keep your cake in optimum condition it must be stored out of sunlight and at room temperature. Cakes should not be refrigerated prior to cutting or serving as the decoration and covering can spoil due to the moisture in a refrigerator. Tiered cakes will be supported by plastic dowel rods which will need to be removed before serving. Once cut, your cake should be consumed within 3 days. We do not recommend you freeze your cake after your wedding/event. Although it is safe to freeze your cake, we cannot guarantee the quality of the cake after freezing.

Complaints

Any refund given for disputes regarding a cake design or the quality of a cake are completely at the discretion of SweetCupcakes Cakery and are not automatic. Full refunds will never be given for any cake which has been consumed regardless of the dispute as consumption of the cake is viewed as acceptance that the cake is adequate for the purpose for which it has been supplied.

All cakes delivered to venues are photographed from different angles to prove the quality of the cake in case of any dispute. We do not accept any responsibility for loss or damage to the cake; decorations and any items you have hired from us once the cake has been delivered to your venue intact or collected from our premises. We highly recommend you appoint a family member/member of staff/wedding planner to be there upon delivery of the cake to ensure it is left by us in the condition mutually agreed upon booking. If you have any concerns about your cake, please notify us upon delivery/inspection so that we have chance to rectify it in time for your event. All other concerns should be made in writing with photographic evidence of the fault included. A refund will only be issued if the cake is returned to us in its original condition and we agree that it is unsuitable for consumption or is not as described in the original quote.
